Device Onboarding and Licensing – Getting Your APs Into Central (Week 3)

By now, you have an HPE GreenLake account, a workspace, and the Aruba Central application deployed. In this post, we'll move your hardware from "boxes on a shelf" to fully recognized assets in GreenLake and Aruba Central—with valid subscriptions and ready for configuration.

The Device Lifecycle: From Purchase to Central

Aruba devices follow a clear lifecycle on their way into Central:

  • Factory / Purchase: Devices are shipped with unique serial numbers and MAC addresses. When you order through authorized channels, those serials are typically associated with your organization.
  • GreenLake Inventory: Devices are added (automatically or manually) into your HPE GreenLake workspace inventory.
  • Service Assignment: Devices are assigned to Aruba Central as their service manager.
  • Licensing: Appropriate subscriptions are applied to each device.
  • Configuration: Devices are placed into groups and sites and receive their configuration.

In this post, we'll cover everything up to licensing, so by the end, your devices will show up in Central, licensed and ready to be assigned to a group.

If devices aren't pre-associated with your account, you can always add them manually using their serial number and MAC address.

Understanding Aruba Central Licensing

Aruba Central uses a subscription model with different tiers depending on the device type.

Access Points typically use two license tiers:

  • Foundation: Core cloud management, monitoring, and RF optimization.
  • Advanced: Adds enhanced capabilities such as AI-powered insights and advanced services (for example, richer guest access and security features). Exact feature mappings can evolve, so always validate against current HPE documentation for your deployment.

Switches are usually covered by a Foundation-style license that includes the full set of Central switch features available for that platform.

Gateways also support Foundation and Advanced tiers, similar in concept to AP licensing, with higher-value features available at the Advanced level.

Other key points:

  • License terms: Common durations include 1, 3, 5, 7, or 10-year subscriptions.
  • Trials: Aruba Central trial licenses typically provide around 90 days for a limited number of devices (for example, up to 60 devices). Check the current program terms when you sign up.

Regardless of tier, every device you manage in Central must have an appropriate subscription assigned.

Step 1: Add Devices to GreenLake Inventory (If Not Auto-Added)

If your devices were purchased through standard channels, they may already appear in your GreenLake inventory. If not, you can add them manually.

  • Log into HPE GreenLake and select the correct workspace.
  • From the homepage, click Devices (either from a quick link or the left navigation).
  • Click the + Add Device button (often shown in the top-right corner).
  • Choose Networking Device from the device type dropdown.

Enter the device details:

  • Serial Number: Printed on the device label and box.
  • MAC Address: Printed on the device label (sometimes called Ethernet MAC or WLAN MAC).
  • Device Type: Select Access Point, Switch, or Gateway as appropriate.
  • Optional: Add location and contact information if prompted to keep your inventory organized.

Click Finish to add the device. Repeat for additional devices, or use any available bulk upload (such as CSV) if you're onboarding many devices at once.

Step 2: Add Subscription Keys

Next, you'll activate your licenses so they can be assigned to devices.

  • In HPE GreenLake, navigate to Subscriptions or License Management (label may vary slightly).
  • Click Add Subscription Key.
  • Enter your subscription key (for example, in a format like XXXXX-XXXXX-XXXXX-XXXXX).

Once the key is validated, you should see details such as:

  • License type (for example, AP Advanced or AP Foundation).
  • Quantity (for example, 10x AP Advanced 3-Year).
  • Subscription term and expiration date.

Review these details carefully to ensure the key matches what you purchased.

Step 3: Assign Devices to Aruba Central

Now we'll tell GreenLake that Aruba Central is the service manager for your devices.

  • In GreenLake, go to your Device Inventory.
  • Locate the section or tile that indicates devices requiring service manager assignment (for example, a tile labeled something like Require Service Manager Assignment).
  • Select the checkboxes next to the devices you want managed by Central.
  • From the Actions dropdown, choose Assign to Service Manager.

In the assignment dialog:

  • Select Central as the service manager.
  • Confirm the deployment region (this should match the region where you deployed Aruba Central).
  • Click Finish to complete the assignment.

After this step, those devices should appear under a tile or list indicating they require subscriptions.

Step 4: Assign Subscriptions to Devices

Every device assigned to Central needs a subscription. You can let Central handle this automatically or keep tighter control with manual assignment.

Method A: Auto-Assign (Easiest)

This is a great option when most of your devices use the same license type.

  • In Aruba Central, go to Settings (gear icon) > License Management.
  • Find the Auto-Assign option and toggle it ON for the relevant device types.

Central will automatically apply available licenses to new devices as they are onboarded, which is especially helpful with zero-touch provisioning.

Method B: Manual Assign (More Control)

Use manual assignment when you want explicit control over which devices get which tier.

  • In Aruba Central, navigate to Account Home > Subscription Assignment.
  • Go to the relevant section (for example, AP Subscriptions).
  • Find your device in the list.
  • In the Subscription column, open the dropdown.
  • Select the appropriate license type (for example, AP Advanced - 3 Year).
  • Click Update Subscription and confirm.

Repeat for additional devices, or use any bulk selection tools provided by the UI to speed up the process.

Verifying License Assignment

Once licenses are assigned, verify that Central sees each device as licensed:

  • In Central, go to Manage > Devices > Access Points (or the relevant device type).
  • Check the Subscription column for each device.

You should see the license type and expiration date. Many deployments also show visual indicators:

  • A green check or healthy state indicates a valid, active subscription.
  • A red warning or error icon usually indicates a missing or expired subscription.

Understanding Device States

As devices move through onboarding, you'll see different states in Central:

  • Unprovisioned: The device exists in inventory and may even be assigned to Central, but it hasn't yet been assigned to a group or fully configured.
  • Up: The device is online, licensed, and successfully communicating with Central.
  • Down: The device is offline—check power, cabling, upstream network connectivity, and any firewall or proxy settings that could block Central communication.

Common Issues and Troubleshooting

Here are some common onboarding and licensing issues and how to approach them:

  • Device not appearing in Central: Confirm that it exists in GreenLake inventory and is assigned to the correct Central service instance/region.
  • "No valid subscription" errors: Verify that your subscription key is activated and that a license of the appropriate type has been assigned to the device.
  • Device appears in Central but unlicensed: Go to License Management or Subscription Assignment and manually bind a subscription to that device.
  • Multiple Central instances: In environments with separate lab and production instances, double-check that the device is assigned to the intended Central instance in GreenLake.

Lionel's Tips: License Assignment Strategy

For many production deployments, a hybrid strategy works well:

  • Enable auto-assign for access points, since they're often homogeneous and you want them to be licensed the moment they connect.
  • Use manual assignment for switches and gateways, where you might have varying roles or tiers (for example, lab vs. production, or core vs. access), and want tighter control over how licenses are consumed.

This approach helps prevent "forgot to license it" issues—especially with zero-touch provisioning—while still giving you granular control where it matters most.

What We Accomplished

By the end of this post, you should have:

  • Added your devices to the HPE GreenLake inventory (or confirmed they were already there).
  • Activated your subscription keys.
  • Assigned devices to Aruba Central as their service manager.
  • Applied subscriptions to those devices.
  • Verified that devices are visible in Central and showing valid license status.

Your devices are now ready for logical organization and configuration.
